This Refund and Cancellation Policy applies to all registrations, participation fees, tourist packages, accommodation arrangements, and associated services related to the International Conference organized by the José Martí Project for International Solidarity.
By registering for the event, participants acknowledge and agree to the terms outlined below.

Conference Registration Fees
Registration fees for delegates, undergraduate students, and accompanying persons include access to conference-related activities and services as specified during registration.

Registration Categories

• Delegates: 150.00 USD
• Undergraduate Students: 80.00 USD
  (valid supporting documentation required)
• Accompanying Persons: 60.00 USD

Registration fees generally include:

• Lunches at the Conference Center dining facilities
• Access to the closing cocktail reception
• Invitations to artistic and cultural activities outside the scientific program
• Admission to the official gala event in Havana

Cancellation by Participants
Participants who wish to cancel their registration must submit a written cancellation request via email to the official Organizing Committee contacts.
Cancellation requests should include:

• Full name of participant
• Registration category
• Proof of payment
• Reason for cancellation
• Relevant supporting documents (if applicable)

Refund Eligibility
Refund requests shall be reviewed on a case-by-case basis by the Organizing Committee. Refunds may be considered in circumstances including, but not limited to:

• Medical emergencies
• Visa denial
• Travel restrictions
• Exceptional personal or humanitarian circumstances
• Duplicate payments or administrative errors

Submission of a refund request does not guarantee approval. Approved refunds, if any, may be subject to:

• Administrative processing fees
• Bank transfer charges
• Currency conversion fees
• Non-refundable third-party service costs already incurred

Event Modification or Cancellation by Organizers
The Organizing Committee reserves the right to:

• Modify the event schedule
• Change speakers, venues, or programming
• Postpone or cancel the conference due to circumstances beyond reasonable control, including force majeure events, public emergencies, governmental restrictions, natural disasters, or security concerns

In such cases, organizers will make reasonable efforts to notify participants promptly. Where applicable, refund decisions shall remain at the discretion of the Organizing Committee and relevant service providers.

Processing Time
Approved refunds may require reasonable processing time depending on:

• Banking procedures
• International transfer timelines
• Payment platform policies
• Administrative verification processes

Participants are encouraged to retain all receipts, confirmation emails, and supporting documentation until matters are fully resolved.

Non-Transferability
